Approval workflows your team can follow from request to decision.

Klarstig turns a request form into a clear approval path. Someone submits a request, the approver is notified by email, reviews the full submission in your workspace, and approves or rejects it with a comment. The decision is recorded and the workflow can continue with a document, an email or a status update.

From request to decision in four steps.

Collect the request.

Start from a template such as purchase approval or expense reimbursement, then edit every field, requirement and option for your process.

Route it.

Add a Request approval step to the form’s workflow. Name the approver, or let it default to a workspace owner or admin. Condition steps can direct requests, for example only when an amount is above a limit you set.

Decide with context.

The approver gets an email, opens the submission in the workspace, and approves or rejects it with an optional comment. Pending approvals appear on the workspace dashboard.

Continue the process.

After the decision, the submission status updates and the workflow can generate a PDF, send an email to the requester or, on Starter and Pro, call a webhook to your other systems.

What to know before you start

  • Each submission has one pending approval at a time. Sign-off by several people is set up as separate steps, not parallel voting.
  • Approvers review and decide inside the Klarstig workspace, so they need access to it.
  • Approval requests created from a submission expire after 7 days if no decision is made; a new request can then be created.
  • If a generated document changes after an approval was requested, the approval must be requested again for the new version.
  • Plan limits on submissions, PDFs and users apply. The Free plan includes 1 user, 5 active forms and 100 submissions a month.

Can I choose who approves each request?

Yes. The Request approval step takes an approver email. If none is set, it uses a workspace owner or admin.

Can approvals depend on the answers?

Yes. Use a condition step, for example to request approval only when an amount is greater than a value you choose.

Is every decision recorded?

Yes. The decision, comment and time are stored with the submission, and the submission status changes to approved or rejected.

Can the requester be told the outcome?

Yes. Add a Send email step after the approval. Emails can include answers from the form using field placeholders.

Do I need to pay to try it?
